Location: Queensland, Australia
Product: iFerret and iArchive
Application: RTI requests, data quality, enterprise search
Overview
iFerret enabled Ipswich City Council to search across multiple systems in seconds, improving access to information, identifying data quality issues and supporting more efficient responses to RTI requests.
The Challenge
Ipswich City Council was managing information across multiple corporate systems and network drives, making it difficult to locate and use information effectively.
Key challenges included:
- Searching across multiple systems to support RTI requests
- Identifying duplicate and inconsistent data ahead of a new EDRMS implementation
- Gaining a single view of customers across systems
- Ensuring data security and integrity across environments
Traditional search tools were assessed but found to be either too limited or too costly.
The Solution
iFerret was selected following an extensive evaluation, including global alternatives.
The Council implemented iFerret in a controlled pilot environment, initially providing access to a small group of users to validate:
- Search accuracy and relevance
- Data quality insights
- System performance and efficiency
- Security alignment with source systems
The solution enabled structured and unstructured search across multiple repositories, while preserving existing security controls.
The Outcome
- Documents can now be located in seconds
- Significant time savings in information retrieval
- Improved visibility of data quality issues
- Ability to identify duplicate records across systems
- Strong confidence in search accuracy and completeness
The solution required minimal training, with users able to adopt it quickly due to its intuitive, search-based interface.
Council has since added several historical legacy systems to this environment as iArchive enables a single search across both historical and current transaction data.
