Location: New South Wales, Australia
Product: iFerret and iArchive
Application: IT strategy, system review, decision support
Overview
iFerret enabled Willoughby Council to search across multiple systems from a single interface, significantly improving access to information and reducing information discovery times.
The Challenge
Willoughby Council needed a faster and more reliable way to locate information across the organisation.
Information was stored across multiple systems, including email archives, network drives, sharepoint, legacy historical systems and corporate platforms, making it difficult to:
- Respond efficiently to FOI and customer requests
- Locate information across large and fragmented data sets
- Ensure complete and accurate search results
The size of the Council’s email archive(s) further increased the complexity and time required to retrieve information.
The Solution
iPlatinum implemented iFerret, providing a single search capability across key document repositories, including P&R, ECM and email systems.
The solution enabled users to:
- Search across multiple systems simultaneously
- Consolidate results into a single view
- Ensure nothing is missed during searches
- Maintain existing security controls across systems
- Include historical legacy information in the search
A dedicated, turnkey environment was deployed to support performance and ease of use.
The Outcome
- FOI discovery time reduced
- Faster and more accurate access to information
- Improved confidence in search completeness
- Strong user adoption across the organisation
- Increased efficiency across many teams
The solution is now used by multiple staff across a range of functions, discovery, information requests and data quality checking.
Council has since added several historical legacy systems to this environment as iArchive enables a single search across both historical and current transaction data.
